The annual contract value is approximately £275,000.00. The initial contract term will be three years, commencing on 13 February 2027 and concluding on 31 October 2030. The contract will operate on a guaranteed performance basis, with the successful Supplier providing a fixed annual contract price. There will be an option to extend the contract for a further period of up to one plus one years by mutual agreement.
Prince Henry’s High School is a large 13–18 secondary school and Sixth Form in Evesham, Worcestershire. The school occupies a substantial and varied estate comprising buildings of different ages, general teaching accommodation, specialist curriculum areas, sports facilities, performance spaces and facilities used by the wider community.
There are approximately 1,282 pupils on role and 180 staff.
The school has high expectations for students and places importance on providing a safe, welcoming and well-maintained environment. Cleaning standards should reflect the professional standards expected across the school.

Whilst the monthly contract payment will represent one-twelfth of the annual contract value, a monthly reconciliation process will be undertaken to verify actual hours worked against those budgeted within the contract. Where actual hours delivered are lower than those budgeted, the Supplier will be required to provide a credit to the school. This credit will be calculated by dividing the annual contract value by the annual contracted hours to establish a contractual hourly rate, which will then be multiplied by the shortfall in hours delivered.
The school is seeking a suitably experienced Supplier with a proven track record of delivering cleaning services within the secondary school sector. Preference will be given to Suppliers with a strong operational presence within the local area, enabling the provision of responsive contract support, operational resilience and service flexibility throughout the contract term.
A robust management structure must be provided to ensure the specification is delivered consistently throughout the contract period. This will include regular engagement with key stakeholders at the school and proactive contract management.
The school is seeking a Supplier that will work collaboratively and flexibly with school leaders to maintain high standards of cleanliness. The school is also keen to explore opportunities to achieve improved value for money through service efficiencies, enhanced staff training and innovative equipment solutions.
The scope of the contract includes all cleaning services across the school site, including holiday cleaning and periodic deep cleaning requirements.
The successful Supplier will be required to provide a concise but detailed monthly management report, enabling the senior leadership team to monitor contract performance, service standards and continuous improvement initiatives.
Key Contract Objectives from February 2027
The school requires the cleaning operation to deliver the following outcomes:
•Deliver consistently high standards of cleanliness and hygiene across the School, providing a safe, welcoming and well-maintained environment for students, staff and visitors.
•Achieve and maintain particularly high standards within toilets, washrooms and other high-footfall areas, supported by an effective daytime cleaning provision and responsive approach to reactive cleaning requirements.
•Provide a reliable and adequately resourced cleaning service, with sufficient staffing levels and robust arrangements for covering sickness, absence and vacancies without compromising service standards.
•Ensure effective on-site supervision and contract management, supported by clear lines of responsibility, regular management presence and responsive communication with the School.
•Implement robust quality assurance and performance management arrangements, including regular inspections, meaningful KPIs, transparent reporting and prompt corrective action where required standards are not achieved.
•Provide appropriate, modern and well-maintained cleaning equipment, products and working methods suitable for the School's varied estate, specialist areas, flooring and cleaning requirements.
•Provide a flexible and responsive service capable of adapting to the operational needs of the School, including lettings, events, holiday periods and other changing requirements.
•Deliver demonstrable value for money and continuous improvement, incorporating appropriate innovation and environmentally responsible practices where these can be achieved without compromising cleaning, hygiene or infection-control standards.
