The University of Edinburgh originally tendered to contract with a partner organisation to undertake a modernisation of its current telephony infrastructure to deliver an IP based solution to its users. The scope of this included the detailed design, supply, implementation, commissioning, maintenance and support of the core voice solution and associated applications, including voicemail and contact centre. Additionally, a detailed migration plan and delivery of an initial deployment of IP Telephony and associated applications, including voicemail and contact centre, followed by the migration of the complete voice system the was serving a number of campuses. This modification covers an extension of the support and maintenance of equipment currently on site.

    • Change The telephone service at the University was previously based on NEC Sopho systems which became unsupportable in 2017. Whilst the University migrated some users onto a new technology platform, this gradual approach was not offering the University best value for money. The VoIP telephony system installed in 2016 enabled the University to secure its telephony service and offer a limited range of new features to users, including for example the ability to use an application on your smartphone or tablet as your University extension. The current contract covers the supply of equipment to multiple sites, licensing and a separate maintenance and support contract. The equipment came to its end of life in 2024 and Getronics have confirmed that licenses can be supported until 2030. The University is currently estimated to have a 50/50 split in terms of those using desk equipment vs online. There is an option to upgrade the platform and upgrade any end-of-life equipment however the University strategy is to move towards an online supported campus. This modification will allow Getronics to continue to provide support and maintenance for the existing equipment for the next 12-months and provide support in phasing out any end-of-life hardware to move online. The current devices are now out of manufacturer support therefore, there is a service risk and an urgent need to implement the replacements. This modification therefore covers an extension of the support contract for the equipment and the Software Assurance (SWA) which were both due for renewal in 2026. This is provided through a third-party supplier but forms an important part of the overall support coverage. This contract was also previously modified in 2023 to the value of GBP 37,741.26. — Need for additional works, services or supplies by the original contractor/concessionaire: This extended period allows the University sufficient time to evaluate the current service provision and plan the strategy for moving forwards with an online solution. Maintaining the same provider for the duration reduces the risk of disruption, as the supplier is already familiar with the project and service expectations.
