Published requirement descriptionThis notice is to invite potential suppliers to tender for a contract to supply, install and support the ongoing maintenance of a new recording and video teleconferencing system for the judicial courts in the UK Sovereign Base Areas (SBAs) of Episkopi and Dhekelia on the island of Cyprus.
The Contract value is £535,000 across a five-year term. The Contract terms do not accommodate any extension options and the Contract will expire after 5 years. The Contract will feature a 6-month implementation period. The Contractor is expected to supply and install new hardware and software in the SBA Court estate; to remove and responsibly dispose of the existing hardware; provide a live-link facility that permits remote access to the court sessions from anywhere in the world; and to provide cloud storage for up to 6000 hours per annum of audio visual recordings of court sessions. The Contractor will further be required to support the new system for the duration of the Contract, providing ongoing support and maintenance both remotely and on-island (as required).
The cyber risk profile for this requirement, identified by the Cyber Risk Assessment is MODERATE (Reference RAR-240425A05). Tenderers for this contract will be required to complete a Supplier Assurance Questionnaire (SAQ) which can be completed online or using the PDF document included in the Tender Documents.

Publisher note: This notice has been published to alert the market to an upcoming competitive tender, that British Forces Cyprus intend to launch in July 2024. The Sovereign Base Area Administration are seeking a 3rd party contractor to install a new video-teleconferencing and court recording system into the UK Sovereign Base Area (SBA) judicial courts on the island of Cyprus. The successful contractor will provide a solution that includes: - installation of new hardware (cameras, microphones, speakers, screens) - software to support: a) a live-link facility to link all 4 court areas in Dhekelia (court room and sensitive suite) and Episkopi (court room and sensitive suite) and remote access via the internet; b) cloud storage of recorded court proceedings - Initial user-training - ongoing maintenance and support The new solution must be operational by 31 March 2025 at the latest and the intended award is October 2024 in order to allow sufficient time for implementation of the new solution.
