6 agreed KPIs: KPI-01: Delivery Volume and Schedule Adherence · KPI-02: Booking admin responsiveness and delegate communications · KPI-03: Data Protection & secure handling of trainee information …
    • KPI-01: Delivery Volume and Schedule Adherence — Delivery of the required programme: 16 half day sessions per year (run twice a year across 8 topics) and delivered on the same day as the other half day IMG course (to create a full training day). Measured via a contract monitoring log: number of sessions delivered vs planned; check timetable alignment with the companion IMG course day. Measured quarterly and annually. There is 0% tolerance for provider-caused shortfall (i.e., all planned sessions must run unless cancellation is outside provider control). Formal performance notice; recovery plan required within 10 working days; persistent failure triggers contract review/performance meeting.
    • KPI-02: Booking admin responsiveness and delegate communications — Provider delivers required booking/admin processes: confirmation emails within 48 hours, reminder emails ≥10 days pre course, and active management of waiting lists/eligibility checks. Audit of booking system logs/email timestamps and sampled delegate records per course. ≥95% compliance (i.e., up to 5% tolerance for exceptions). Corrective action plan; repeat failure triggers escalation at contract review and potential withholding of future course approvals until fixed.
    • KPI-03: Data Protection & secure handling of trainee information — All trainee data collected/processed in line with GDPR, and attendance/evaluation files returned password protected as specified. Evidence-based assurance: DPIA/secure process confirmation; spot checks of file protection and access controls; incident log review. Measured per course and at annual assurance. 0% tolerance for data breaches or unprotected transfers (service failure). Immediate incident escalation; remedial actions within 48 hours; contractual remedies per information governance requirements.
    • KPI 04: Attendance recording, reporting & post course outputs (timeliness and completeness) — Provider completes post course requirements: record attendance, return attendance report in Excel (password protected), issue certificates (PDF), and submit procedural/fidelity evaluation raw data + evaluation report after each course. Deliverables checklist tracked after each live course (receipt date + completeness against required fields/format). 100% completion required (0% tolerance) for missing deliverables; timeliness tolerance can be set as ≤5 working days late (or as agreed). Withhold payment until complete pack received; escalation for repeat issues; improvement plan agreed at contract review.
    • KPI 05: Course recording & resource availability — Each half day online session is recorded and recordings/resources are provided to enable sharing by NHSE as a regional resource. Confirmation of recording completion and upload/transfer of files and resources per session; random access testing monthly/quarterly. ≥98% compliance (up to 2% tolerance only for exceptional technical failure with documented mitigation). Re-record or provide alternative equivalent resource within 10 working days; persistent issues trigger technical improvement plan.
    • KPI 06: Quality & continuous improvement (contract monitoring and annual reporting) — Provider provides continuous improvement input and reporting: highlights improvements/concerns at contract reviews, provides operational/fidelity + feedback + attendance summary after each course, and supplies an annual report when requested (attendance, collated feedback from delegates/faculty, course delivery/cancellations with reasons and extenuating circumstances). Evidence of: (1) contract review minutes/actions; (2) post course summary packs; (3) annual report submitted by agreed deadline. Measured per course and annually. 0% tolerance for non-submission when requested; ≥95% completeness for required fields/sections (5% tolerance). Escalate to contract performance meeting; require action plan with deadlines/owners; repeated failure may trigger contract remedies or non renewal.
